How much does it cost to exhibit?

Exhibitor/Vendor (For-Profit Organizations):
  • If registration is postmarked prior to 4/9/10: $750

  • If registration is postmarked on or after 4/9/10: $850

Educational Institutions/Non-Profit Organizations:
  • If registration is postmarked prior to 4/9/10: $325

  • If registration is postmarked on or after 4/9/10: $425

Payment may be made by check, VISA or MasterCard. All payments are due in full by 4/15/10. Make checks payable to MHIMA.

If you need a W-9 in order to issue payment to MHIMA, email the MHIMA Executive Director at ExecutiveDirector@mnhima.org.

What if I'm a 2010 MHIMA Corporate/Vendor Partner?
You receive a complimentary booth at our Annual Meeting. You still need to complete the Exhibitor Registration Form. Indicate that you are a Corporate/Vendor Partner and select "pay by check;" however, no additional payment is required.

What's included in my booth?

  • An 8'x10' booth with back and side drapes

  • A 6'x30" skirted table with table cover

  • 2 chairs

  • A 7"x44" exhibitor identification sign

  • Luncheon access on Wednesday and Thursday for 2 representatives

  • Break and beverage access on Wednesday and Thursday for 2 representatives

  • Free parking

  • Electronic database of pre-registration names and addresses two weeks prior to our show to assist with marketing

  • Online Vendor Directory listing accessible to all registered attendees from the MHIMA website


How many attendees are expected?
We anticipate 350-400 HIM professionals to attend our meeting from across Minnesota. The majority are employed in health care organizations, and many are in management-level positions. This year, we expect a national representation of long-term care professionals as well.

How do I become an exhibitor at the MHIMA Annual Meeting?

Fill out an Exhibitor Registration Form. Once your registration is submitted, you'll receive confirmation by email from our Executive Director. The booth payment is due in full no later than 4/15/10.

When is the deadline to register to exhibit?

All space is sold on a "first come, first served" basis until it is sold out. We encourage all exhibitors to submit their registrations early to secure a space. Registrations postmarked before 4/9/10 pay the "early registration fee."

Can I share booth space with another company?
Companies that have an agreement outside of our event are permitted to share booth space. A copy of this agreement will be requested by MHIMA.

What services does the Northland Inn provide exhibitors?
Electricity is available for a flat fee of $50 plus tax for the duration of the vendor show. Internet access is available for $9.95/day plus tax (wireless) or $100/day plus tax (wired). Click Here to download the Electrical Order Form from Northland Inn.

Audio/visual needs can be rented through the Northland Inn. Prices are subject to change. Contact the Conference Planning Manager at Northland Inn. Brede Exposition Services will also provide A/V support.

What are the event hours?
  • Tuesday, April 27: Materials set up and move in starting at 8:30 pm

  • Wednesday, April 28: Registration starts at 7:30 AM, visitors can be expected during this time. All vendor booths should be set up by 9:30 am and you can begin set up at 7 am. Official breaks devoted to vendor times. A Vendor Reception is planned for Wednesday evening from 5-8 pm.

  • Thursday, April 29: Registration starts at 7:30 AM, visitors can be expected during this time. Official breaks devoted to vendor times. A vendor prize drawing is planned for early afternoon, prior to the afternoon break.

  • Thursday, April 29: Take down after 4 pm

  • Friday, April 30: Exhibit Hall closed.

Does the Northland Inn offer discounted rates on hotel rooms?
Yes. A block of rooms is held for MHIMA confirmed Group rate reservations through March 30, 2010. Reservations can be made directly with the hotel at www.northlandinn.com or by calling (800) 441-6422. Indicate you are reserving under the MHIMA Group rate. Reservations need to be guaranteed by credit card. Check in is at 4 pm. Check out is 12 noon. Reservation requests received after the cut-off date will be based on availability at the Hotel's prevailing rates. If you desire a "sleep number bed", please indicate that when you make your room reservation.

Can exhibitors attend the educational sessions?
Yes, your exhibit badge allows you to sit in on any educational session at no additional charge. However, if exhibitors wish to obtain CEUs and the speaker and program materials, you will need to register and pay for the day(s) of attendance as an individual.

Are sponsorships/advertising opportunities available?
MHIMA's sponsorship program is designed to maximize your opportunities to market to our meeting attendees. Sponsorships of $100-$500 increase your visibility to MHIMA's 1700-plus HIM professionals and reinforces your presence at our Annual Meeting, where 350-400 people attend. How do I ship materials to the Northland Inn for my exhibit booth?
Contact MHIMA Executive Director for shipping information.

In addition, exhibitors will receive an Exhibitor Service Kit from Brede Exposition Services 2-3 weeks prior to our show.

What if I need to cancel my reservation?
Requests to cancel must be made in writing (email) and received prior to 4/15/10. A $50 processing fee will be deducted from the refund. No refunds will be made after 4/15/10.
